What data is collected?
Depending on usage, the following personal data may be stored:
- Pseudonym (required, visible within the lodge)
- Username (for login only, not publicly visible)
- Email address (required, visible to admins only)
- Phone number (optional)
- Date of birth (optional)
- Address: street, postal code, city, country (optional)
- Degree and function within the lodge
- Lodge career data (initiation, passing, raising dates)
- Uploaded files (profile picture, documents – visible to self only)
- Chat and direct messages (visible to lodge members only)
- Login log: failed attempts and lockout timestamps (security purpose, auto-deleted)
Purpose of Data Processing
Data is used solely to operate the Widows Sons Central Switzerland member platform: membership management, internal communication, event organisation and lodge-internal services. No commercial use.
Legal Basis
Data processing is based on consent (registration/admission as member) and for the fulfilment of the membership relationship pursuant to Art. 6 para. 6 nDSG (Switzerland) and Art. 6 para. 1 lit. b GDPR (EU).
Retention Period
Personal data is stored as long as the membership is active. Upon resignation or account deletion, data is removed within 90 days unless legal retention obligations apply.
Data Sharing
No personal data is shared with third parties. All data is exclusively accessible to logged-in members of the respective lodge. No data is used for advertising purposes or sold.
Hosting and Server Location
The platform is hosted on servers of the Swiss provider Metanet AG. The server location is Switzerland. Swiss data protection law (nDSG) applies.
Data Security
Passwords are stored exclusively in encrypted form (bcrypt). Transmission is via HTTPS. Measures against SQL injection, XSS, CSRF and brute-force attacks are in place. After 5 failed login attempts the account is temporarily locked.
Your Rights
You have the following rights regarding your personal data:
- Access – You may request information about the data stored about you at any time.
- Rectification – Incorrect data can be corrected directly in your profile or by request.
- Erasure – You may request deletion of your account and all associated data.
- Restriction – You may request restriction of data processing.
- Objection – You may object to data processing.

Right to Lodge a Complaint
You have the right to lodge a complaint with the Federal Data Protection and Information Commissioner (FDPIC, www.edoeb.admin.ch) if you believe your data is not being processed lawfully.

This privacy policy may be updated as needed. The current version is always available on this page. Significant changes will be communicated to members by email.
